Managing Form Submissions: Edit, Delete, Export, and Bulk Actions

Forms collect data. But once the data is in, you need to work with it — correct a misspelled name, delete test submissions, export a batch for reporting, or archive last quarter's responses. Formisoft gives you tools to manage submissions without leaving the dashboard.
Editing Submissions
Patients make mistakes. Staff notice typos. Insurance information changes. Instead of asking a patient to re-submit an entire form, you can edit individual responses directly.
Open the submission, click Edit, change what needs changing, and save. Every field type is editable — text, dates, selections, insurance info, even e-signatures (replace with a new one). Audit logging tracks who made the change and when, which matters for compliance.
Deleting Submissions
Test submissions, duplicates, and spam need to go. You can delete individual responses from the action menu, or select multiple submissions and delete them in bulk.
One important note: deletions are permanent. There's no trash folder or undo. Verify before you delete — and if you're unsure, archive instead.
Bulk Actions
When you need to act on many submissions at once, individual clicks don't scale. Select submissions using checkboxes (or "Select All" for everything visible), then:
- Delete Selected — remove multiple submissions at once
- Archive Selected — move them out of active view while preserving the data
- Export Selected — download specific submissions as CSV
This is especially useful for:
- Cleaning up after a testing phase before go-live
- Archiving last month's or last quarter's data
- Exporting a specific date range for reporting or analysis
- Removing duplicate entries after a system integration issue
Search and Filtering
With hundreds or thousands of submissions, scrolling isn't practical. The search bar filters across all field data in real time — type a name, email, or any value and matching submissions appear instantly. Search is case-insensitive, so capitalization doesn't matter.
CSV Export
Every submission can be exported to CSV for analysis in Excel, Google Sheets, or whatever tool your team uses. Export all submissions or just the ones you've selected. The export includes all field responses, timestamps, and metadata.
Keeping Data Clean
A few habits that save time:
- Delete test data before going live. Don't mix test submissions with real patient data.
- Archive instead of deleting when you might need the data later.
- Review submissions weekly for obvious issues — duplicates, incomplete entries, spam that got through.
- Document why you edited a submission when it matters for compliance. The audit log captures the what and when automatically.
Permissions and Security
Not everyone should be able to edit or delete submissions. Team roles control who has access to submission management actions. All actions are logged, and all data remains encrypted and HIPAA-compliant throughout — whether you're viewing, editing, exporting, or deleting.
